Microsoft OneDrive Storage Limit Changes

Overview

CU ISS is implementing a Microsoft OneDrive storage “optimization” strategy to address increased Microsoft storage costs effective October 2026 while maintaining a sustainable, low impact user experience. No files or emails will be deleted.

What Is Changing?

OneDrive allocations: 100 GB for faculty/staff and 50 GB for students.

Outlook emails older than two years will be automatically archived while remaining accessible and searchable.

Business Rationale

Align storage allocations with actual utilization and improve sustainability with minimal disruption. 96.7% of all users currently store less than 40 GB.

Storage Options

Users needing additional capacity may purchase additional OneDrive storage at $330/year per 1 TB or leverage institutional options including the Shared Virtual Storage (Isilon/Rhino).

Implementation Timeline

  • August 2026: Engage leadership groups including Finance, Deans, Senior Administration, IT leaders, HR, Student Services, Admissions, and the Registrar to ensure organizational awareness.
  • September 2026: Direct communication and support for users who exceed proposed storage thresholds, accompanied by campus wide announcements.
  • October-December 2026: Implement storage limits for low-impact users, activate Outlook auto-archive, and continue support for highly impacted users.
