{"id":21044,"date":"2026-06-03T14:13:46","date_gmt":"2026-06-03T20:13:46","guid":{"rendered":"https:\/\/sehd.ucdenver.edu\/impact\/?p=21044"},"modified":"2026-06-03T14:13:46","modified_gmt":"2026-06-03T20:13:46","slug":"reimbursement-guidelines-reminder","status":"publish","type":"post","link":"https:\/\/sehd.ucdenver.edu\/impact\/2026\/06\/03\/reimbursement-guidelines-reminder\/","title":{"rendered":"Reimbursement Guidelines Reminder"},"content":{"rendered":"<div><b>Reimbursement Guidelines Reminder<\/b><\/div>\n<div>A reimbursement is processed when an individual pays for a business-related expense with personal funds and the expense is determined to be payable by CU.<\/div>\n<p>&nbsp;<\/p>\n<div><b>What Is Allowed<\/b><\/div>\n<ul type=\"disc\">\n<li>Employee reimbursements are generally limited to\u00a0<b>goods under $5,000<\/b>.<\/li>\n<li>Items must\u00a0<b>not<\/b>\u00a0be covered under existing University price agreements.<\/li>\n<li>Reimbursements must meet the University\u2019s accountable plan requirements for proper documentation.<\/li>\n<li>Reimbursement requests can only be submitted\u00a0<b>after the travel or related event has concluded<\/b>.<\/li>\n<li>Reimbursements are\u00a0<b>not intended for routine purchases<\/b>\u00a0and should not be a department\u2019s primary purchasing method.<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<div><b>Unallowable Transactions (Will Not Be Reimbursed)<\/b><\/div>\n<div>Please do\u00a0<b>not<\/b>\u00a0use personal funds for:<\/div>\n<ul type=\"disc\">\n<li>Payments to individuals or independent contractors (including speakers, transportation, lodging hosts, etc.) Payments to individuals must be pre-approved through a scope of work and must be processed via CU Marketplace.<\/li>\n<li>Peer-to-peer payment apps (Venmo, PayPal Personal, Cash App). Again, these are also considered payments to individuals so they must be pre-approved through a scope of work and must be processed via CU Marketplace.<\/li>\n<li>Cash awards\/Stipends\/Gift Cards\/Study Subject Payments<\/li>\n<li>Donations<\/li>\n<li>Any single purchase over $5,000<\/li>\n<li>Travel or business expenses for other individuals (outside qualifying group travel)<\/li>\n<li>Purchases made with gift cards, rewards points, miles, or prepaid credits (e.g., Uber Cash)<\/li>\n<li>Personal purchases<\/li>\n<li>Tips over 20%<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<div>Please review these guidelines carefully before making any business-related purchases with personal funds.
